Position Summary

Our well-established and highly respected company in South Africa, with projects across Africa, handles the largest power projects in Africa.

The company is providing high profile Advisory and Project Management Services in the power sector to governments, utilities and developers and has a strong track record in engineering projects with the support of the international resources of the PB group of companies.

The position is for an experienced and dynamic professional responsible for project administration and support for the Commercial and Contracts Manager for the Medupi Power Station Project and administrative & secretarial support to Legal Counsel.

Provide financial, commercial and administrative support to the members of the Medupi Commercial Team including Contract Administration, Cost Control, Billings & Collections and support to the project team.


Reporting Relationship

Report directly to the Commercial and Contracts Manager









Major Job Activities
(Key Performance
Areas)

Responsible to provide the Commercial and Contracts Manager with effective support function as set out below.

Project Management


* Assist and prepare Task Orders, ARF’s and Purchase Orders
* Become familiar with project(s) documents and requirements
* Interface with international, regional and local offices
* Distribution of project documents to relevant parties
* Coordinate and/or participate in associated meetings with colleagues and clients
* Obtain sign-off on project documentation
* Procurement – ensure all policies and procedures are met e.g. New suppliers, prepare and track purchase orders, obtain sign off on PO’s and invoices, check invoices against time sheets, etc. and track payment
* Record keeping, project library and project archiving

Contract Administration

* Assist with reviewing contracts
* Assist in preparation of Sub-Consultancy agreements, Service Provider agreements, Lease agreements, MOU’s, etc.
* Ensure compliance with clients’ commercial and audit requirements
* Obtain sign-off and record keeping
* Ensure proper documentation and audit trail

General

* Coordinate and organise meetings, workshops and conferences
* Prepare workshop material and presentations
* Office management
* Logistics support (office allocation, telecommunication, IT, security, postage, drivers/deliveries/courier, stationery, office furniture and equipment)

Remuneration Package

Contacts with other
staff & customers

Interfacing with all business units within PBSA and elsewhere, MANCO members, external clients and suppliers providing related and supporting services.

Job Requirements

Education / Qualifications :

Matric coupled with appropriate project and contracts experience
Project management qualification and/or experience
Financial qualification and/or experience
HR qualification and/or experience

Specialist Knowledge

Accounting, budgeting, project financial planning and control, project reporting. Financial systems and financial control.
Contracts management.
Basic understanding of HR administrative management.
Proficient in Microsoft Projects, Excel, Outlook, Word and Oracle

Ability to work under pressure
